Job Duties & Skills Required:

What You Will Do

The overall purpose of this job is to provide coordination of support services projects for the Human Resources Department and to assist with completion of department compliance requirements. The responsibilities of this job include working closely with HR Management in carrying out his/her department objectives, ensuring Human Resources projects are planned and implemented, ensuring HR processes and procedures comply with department standards and applicable state and federal laws, supporting all department efforts, compliance project requirements and managing ongoing or monthly processes. Supports and lives out Immanuels Mission and CHRIST Promises.

Key Responsibilities and Duties of the Job

Departmental Coordination

  • Organizes and delivers necessary and requested information to ensure accurate, efficient and smooth operations in the HR Department.
  • Provides Human Resources with support in areas of composing communications using available technology, licensure verifications, researching and summarizing information, using proper records management techniques, scheduling, and preparing materials for meetings.
  • Serves as point person to answer HR related questions and/or give appropriate direction for Immanuel employees and managers.
  • Maintains contact with vendors to find information and facilitate resolution as soon as possible.
  • Monitors and maintains HRMS records, notifies stakeholders of timely approval status changes and DOT or related on-boarding required approvals.
  • Coordinates, maintains and prepares various reports required or requested for weekly term, new hires, licensure, compliance and training/development to assist Business Line Managers.
  • Works with Business Intelligence to develop and/or maintain HR dashboards, scorecards or reports required at specific intervals.
  • Uploads data and completes entries in HRMS, ATS, Excel and vendor related sites as required to maintain reports and data for employee processes related to recruitment, on-boarding, benefits and training.
  • Serves as Relias back-up by assigning computer based training modules and created reports in Relias as needed.

Compliance and Project Management

  • Prepares and supports completion of annual EEO Reports, ACA, audit materials, and other required compliance information and tasks.
  • Coordinates Quarterly Personnel File Audits to ensure prep checklist items are completed.
  • Ensures the new hire processes and procedures are completed in a timely and accurate manner and in compliance with state and federal laws and Immanuel policy.
  • Maintains the integrity of HRMS records through audits and reconciliation with payroll.
  • Assists in the reconciliation and coding of HR related invoices.
  • Supports special projects and/or assignments for compensation, benefits and/or training and development areas.

  • Performs other duties as assigned or requested.

Skills & Requirements

Education-

  • Associates Degree in Business or related area of study is required.
  • Bachelors Degree in Business with emphasis in Human Resources is preferred.
  • Equivalent years of experience may substitute for education requirement.

Experience-

  • Three (3) years of administrative assistant experience or entry level business position, preferable in a Human Resources Department, is required.
  • Equivalent years of education may substitute for experience requirement.

Other Requirements-

  • Able and willing to travel to various Immanuel locations as needed.
  • Proven Microsoft Office Excel and Visio skills required.

KSA- Knowledge Skills and Abilities-

  • Ability to work with confidential information and be conscientious regarding the security of such data, related confidential documents and knowledge.
  • Ability to manage multiple projects with competing priorities.
  • Must have proven ability to maintain a high attention to detail and accuracy.
  • Skills in communicating both verbally and in writing using tact and diplomacy in interactions at all levels.
  • Oral Communication speaks clearly and persuasively in positive or negative situations, demonstrates an attitude of teamwork.
  • Written Communication - edits work for spelling and grammar, presents numerical data effectively and is able to read and interpret written information.
  • Skills in organizing information, work, dealing with frequent changes, and managing competing demands using time efficiently and develops realistic action plans.
  • Skills in operating a computer and programs such as HRMS systems and Microsoft Office. Knowledge of UKG, Microsoft Word, Outlook, or related programs is desirable. Need to open to learning new technologies and systems.
  • Ability to anticipate the needs of others and to have information available keeping supervisor and co-workers informed of important project status.
  • Ability to problem solve by identifying and resolving them in a timely manner.
  • Conscientious about first impressions in dress, speech, and behaviors that reflect upon HR and Immanuels reputation.
  • Knowledge of basic HR laws and regulations helpful but not required.
