Borinquen Medical Centers is seeking to hire a full-time Front Desk Receptionist/ Administrative Support for our Administration Office. The Receptionist/Administrative Support will manage the front desk area daily and will perform a variety of administrative and clerical tasks. As a Receptionist/Administrative Support, this individual will be the first point of contact at our office. Our Front Receptionist Administrative Support's duties include offering administrative support across the organization. Will assist in the coordination of front-desk activities, including distributing correspondence and redirecting phone calls. Ultimately, this position will ensure that all administrative tasks are completed to the highest quality standards.

TASKS AND RESPONSIBILITIES

  1. Greet and welcome guests as soon as they arrive at the office
  2. Direct visitors to the appropriate person
  3. Answer, screen and forward incoming phone calls
  4. Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  5. Provide basic and accurate information in-person and via phone/email
  6. Receive, sort and distribute daily mail/deliveries
  7. Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, temperature screening)
  8. Order front office supplies and keep inventory of stock
  9. Update calendars and schedule meetings
  10. Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  11. Draft memos
  12. Assist Marketing Department
REQUIREMENTS
  1. High School Diploma Required; Associates or Bachelor's Degree Preferred
  2. Bilingual
  3. Proven work experience as a Receptionist, Front Office Representative or similar role
  4. Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Publisher)
  5. Hands-on experience with office equipment (e.g. fax machines, scanners, printers)
  6. Professional attitude and appearance
  7. Solid written and verbal communication skills
  8. Ability to be resourceful and proactive when issues arise
  9. Excellent organizational skills
  10. Multitasking and time-management skills, with the ability to prioritize tasks
  11. Customer service attitude
